Customer area – "Your area" for your clients

In their own area, your clients see appointments, any deposit due, open forms, documents and requests – in your studio's look, with one account for every studio.

From now on, every email to your clients ends with "Your area at <your studio>". One click – and your client sees everything that belongs to them in one place. In your studio's look: your logo, your name, the accent colour of your homepage.

What your client sees there

  • Appointments – upcoming and past: date, time, service, artist, location with address. Cancelling or rescheduling works through the same page as from the reminder – with your cancellation rules.
  • Deposit due – amount, deadline and your payment options as in the email: bank transfer with reference, PayPal link or at the studio.
  • Please fill in – open consent forms (requested by you or sent automatically before the appointment). Your client fills them in right there and then lands back in their area.
  • Documents – signed consent forms with date, status and checksum, plus your aftercare instructions. Answers to health questions are not shown.
  • Requests – status, description and reference images of their requests.
  • Messages – one conversation with your studio, with photos; every message can belong to a project, appointment or request ("Message about this appointment"). You reply in the app: Messages.
  • Your projects – status, sessions and appointments of a project and the messages about it (without prices or notes).
  • Account – My details (name, phone, language and "Text message reminders"), sign-in & security. If your client changes something, it shows up in the customer file's log ("Changed online").

Never visible: your internal notes, internal prices, artist billing and other clients.

How your client gets in

The area is only available with a customer account – email and password, or in one click with Apple or Google. It's created in three steps: email first, then the link from the email, then name and password.

  1. Enter the email – in the customer area under Create account, or with the Create a customer account checkbox when booking or sending a request. Nobody asks for a password there.
  2. Link from the email – "Set up your account" in your studio's look. It's valid for 24 hours and works once.
  3. Name, password, language – we pre-fill the name from your customer file, your client can change everything. With that click their email counts as confirmed and they're in.

Where your client starts:

  • Link in every email: booking, appointment confirmation, reminder, aftercare, consent, request accepted – their personal link is at the bottom. It pre-fills the email and leads to sign-in or account creation; next to it, Send a message leads straight to their conversation with you.
  • When booking or sending a request: the Create a customer account checkbox – optional, off by default, without a password field. After sending, the email with the link arrives; the page also offers the area via Apple or Google.
  • After signing the consent form: "Your area" with the same options.
  • From the customer file: In the customer file, under Customer area, Send link to customer area sends an email with the link. There you also see when your client was last in their area at your studio.

Signing in and the second factor

For customer accounts with a password, a second factor is optional – after setup we offer "Face ID / fingerprint", everything else is under Account. The options:

  • Face ID / fingerprint (passkey) – the fastest way: no password, no code. A passkey alone is enough to sign in – your client taps Sign in with Face ID (Android: Sign in with fingerprint).
  • Authenticator app – code from an app like Google Authenticator, Microsoft Authenticator or 1Password, plus backup codes.
  • Code by email – every sign-in with a password sends a code in your studio's look; it's valid for 5 minutes.

Clients who sign in with Apple or Google don't need a second factor at Inkfuchs – the provider takes care of that. Your client manages everything under Account → Sign-in & security. Studio accounts aren't affected: for you and your team, passkey and two-factor from your account still apply.

My client can't get in anymore – what now?

When signing in with a password, a code by email to the confirmed address always works as the second step – even if they normally use the authenticator app. Alternatively they use one of their backup codes. Forgot the password? Forgot password sends a link by email. Afterwards they set everything up again under Account. You don't need to (and can't) do anything – the account belongs to your client.

One account for every studio

Your client has one account for every studio that uses Inkfuchs. At the top of the area they choose the studio – each appears in its own look. Linking only happens via their confirmed email address: if you add them with the same address (booking, request or manually), your studio shows up for them automatically.

If you change the email address in the customer file, the link is removed immediately; older links from emails then stop working. If the new address matches an account, it reconnects the next time they open the area.

My client chose a hidden address with Apple – what now?

Then Inkfuchs initially only knows Apple's relay address. In the area, your client taps Confirm another address, enters the address from the booking and confirms it with a code. After that they see their appointments.

Can my client delete their account?

Yes, under Account → Delete account. Only the account disappears. Appointments, consent forms and requests stay with you – your client asks you directly to have them deleted.

Is the area secure?

Every request needs a sign-in, the area only shows this client's data at your studio, and search engines don't see it. Links from emails are only the entry point: without signing in they don't open any data. The database only stores a checksum of them; they're valid for 60 days. The "Set up your account" link and sign-in codes are also only stored as a checksum – and none of it ends up in logs.
