Consent

Digital consent via QR code, email or text

Your customer fills in the consent form and health questions on their own phone and signs right there – by QR code at the front desk or as a link by email or text, no app, no account, no paper.

How it works

  1. Request consent: Under Consent forms, tap Request consent – or in the customer file under Consent forms, tap Request, then name and contact details are already filled in. Choose the form, for example tattoo or piercing, how long the link is valid (2 hours up to 7 days) and how it reaches your customer: as a QR code at the front desk, by email or by text.
  2. Customer opens the form: They scan the code with their phone camera – or tap the link in your email or text. The form opens in the browser, in German or English.
  3. Fill in: personal details, health questions, confirm the information, sign – four short steps.
  4. Done: The consent form shows up right away in the list and in the customer file. If the customer is new, Inkfuchs creates them automatically.

Each link works for exactly one consent form – whether as a QR code, by email or by text. Request a new one for the next customer.

Send by email or text

That way your customer can fill it in at home before the appointment – and things go faster at the front desk.

  • By email: on behalf of your studio, in German or English – depending on the language in the customer file. The email has a button to the form, says until when the link is valid and names the appointment if the consent belongs to one. If your customer replies, the reply goes to the address from Settings → General.
  • By text: a short text message with your studio name and a short link to the form. It's an additional text – currently not charged – and it's listed with its cost under Logs, SMS tab. Inkfuchs may charge for additional texts in the future – we'll announce it in advance. Text messages are available from the Pro plan, with a mobile number in the customer file and if your customer hasn't declined texts (customer file → “Reminders by SMS”).

Both only work with a customer from your customer files. If the email address or mobile number is missing, that option is locked and Inkfuchs tells you why. After sending you briefly see “Link sent by email to …”; the customer file's log says “Consent link sent by email”.

Afterwards: If you created a QR code and your customer would rather fill it in later, send the same link with Also send by email or Also send by text. The other way round, Show QR code shows the code for a link you've sent. Inkfuchs sends the same link at most once a minute per channel – a double click doesn't send anything twice.

Automatically before the appointment

With Send consent in advance (on by default) you don't have to think about it: Inkfuchs sends the link by itself – by default 3 days before the appointment by email, on behalf of your studio. Your customer fills it in at home; at the front desk you only check the ID.

  • Which appointments? Tattoo, touch-up, flash and piercing – with a customer and an email address in the customer file. Consultations, blockers and cancelled appointments don't get a link.
  • Only when needed: If a consent form has already been signed for the appointment or a link is open (for example because you requested one yourself), nothing is sent. Each appointment gets the link at most once.
  • Booked at short notice? If the appointment is already within the period, the link comes right after the booking or appointment confirmation.
  • Valid until the appointment ends – after that the link has expired.
  • Which form? By default the active form of the kind (tattoo or piercing). You can choose a different one per kind.
  • Also by text: if you like, from the Pro plan. Like all additional texts, currently not charged.

The customer file's log then says “Consent link sent automatically”. You set the timing, text messages and forms under Settings → Consent.

Stored securely

  • Frozen: Form text, answers and signature are captured at signing and secured with a checksum calculated with a secret key of your studio – no answer can be guessed from it. The database doesn't allow any changes afterwards either. If you change the template later, a new version is created – signed forms stay exactly as they are.
  • Health information encrypted: with a key of its own for your studio. Owner and studio manager see it for all customers; artists, guest artists and piercers only for their own – with an appointment or project with them, or if the consent came in via their QR code. Front desk and apprentices don't see it. You can change this per person under Team in the Permissions section.
  • Logged: Every look at health information is recorded with person and time.
  • Never by email: We don't send health information by email.

Check ID

Open the consent form and, after looking at the ID, tap ID checked. In the list you can see where the check is still open and filter by it. Inkfuchs doesn't store a photo of the ID.

Copy for your customer

If Copy to client is on (default), your customer gets a confirmation by email after signing – with form, time and checksum, without health information. The email is sent on behalf of your studio; if your customer replies, the reply goes to the address from Settings → General (“Email for clients”).

Settings

Under Settings → Consent you decide:

  • Minimum age for tattoos (default 18) and piercings (default 16) – never younger, not even with parental consent
  • Minors from the minimum age up to 17, per type: only from 18 (default for tattoos) or only with a parent's signature (default for piercings). Then a parent comes to the studio, enters their name and co-signs; you check the ID on site
  • whether the link goes out automatically in advance – how many days before the appointment, also by text and with which form per kind
  • whether the ID check is part of the process and whether your customer gets a copy
  • how long signed forms are kept (default 10 years)
