SMS reminders
From the Pro plan, your clients get a short SMS before every appointment in addition to the email – one per appointment, free and unlimited.

How it works
In addition to the reminder email, your client gets a short SMS – on behalf of your studio and in their language (German or English). You set everything up under Settings → Reminders & aftercare.
- What it says: first name, your studio, date and time – and a short link to cancel or reschedule. It leads to the same page as the button in the email.
- What it doesn’t say: service, artist, health details, marketing or a request for a review. All details stay in the email.
- Length: the SMS fits into one message of 160 characters. If your studio name is very long, Inkfuchs drops the greeting first and then the studio name – the sender shows it anyway. The preview in the settings shows how it looks.
One SMS per appointment – included
- From Pro, one SMS per appointment is included free – no limit, no matter how many appointments you have. This also applies during the trial.
- On the Free plan, reminders go out by email. You still see the section, but it is locked.
- Which reminder: by default the last one before the appointment. If you set two times, for example 48 and 24 hours before, the SMS goes out with the 24-hour reminder. Under SMS with reminder you can pick a different time.
- Booked at short notice: if the time has already passed, the SMS goes out with the next reminder that is due.
- Never twice: the SMS goes out exactly once per appointment – even if you change the times later.
Further reminders by SMS
With Further reminders by SMS too, the other reminders before the appointment also go out as an SMS. Off by default: further reminders then go out by email only. Aftercare always goes out by email.
SMS for confirmations and changes
When you book, move or cancel an appointment, you can also notify your client by SMS in addition to the email – checkbox Also by text message in the appointment. More: Keep clients informed about appointments.
Additional SMS: currently not charged
Every SMS beyond the one reminder SMS per appointment is an additional SMS – further reminders, SMS for confirmations and changes, and the consent link by SMS (Digital consent).
- Currently not charged: additional SMS cost you nothing extra at the moment.
- Costs in view: every SMS is listed with its cost under Logs, tab SMS – about 8 cents per SMS with our SMS provider.
Sender name
Your studio appears as the sender: up to 11 letters or digits, no spaces, umlauts or special characters. If you leave the field empty, Inkfuchs builds it from your studio name – “Farbgefühl Tattoostudio” becomes “Farbgefuehl”.
Your client can’t reply to an SMS with a sender name. For questions, your studio’s phone and email are on the appointment page behind the link.
What applies to clients with an Austrian number?
Since 1 October 2026, Austrian network operators only deliver SMS with a sender name if the name is listed in the RTR register. If your sender name is not listed there, the SMS to numbers starting with +43 may not arrive. The reminder email is sent anyway.
Phone numbers
- Inkfuchs checks every number and converts it to the international format. Numbers without a country code, like “0176 …”, count for the country of your main location (Settings → Locations & stations).
- Landlines and invalid numbers don’t get an SMS – the email is sent anyway. In the client record, the phone field shows whether an SMS is possible.
- If a client only has a mobile number and no email, they get the SMS only.
If a client doesn’t want SMS
Switch off Reminders by SMS in the client record. The SMS is a factual appointment reminder without marketing – that’s why it doesn’t depend on “May receive news”.
Delivery and log
Under Logs, tab SMS, every SMS is listed with its status:
- Planned – created, about to go out.
- Sent – accepted by the SMS provider.
- Delivered – the phone received it.
- Failed – for example because the number can’t be reached.
Plus cost, appointment and the provider’s ID. The network operators report the status back. Some never report “Delivered” – then it stays at “Sent”.
Frequently asked questions
Does the SMS reminder cost me anything?
No, from Pro one SMS per appointment is included. Additional SMS – for example with Further reminders by SMS too – are currently not charged either. We'll announce any future charge in advance.
Why didn’t my client get an SMS?
Check in the client record whether Reminders by SMS is on and the phone field says “SMS reminder possible”. The log shows whether the SMS went out and what the network operator reported.
