Messages – clients write to you directly
One inbox for the whole studio instead of WhatsApp on the studio phone – your clients write from their customer area, and every message belongs to a project, appointment or request.

"Look, this is what my tattoo looks like today" – instead of on your private phone via WhatsApp, this now arrives in Inkfuchs. No studio phone, no private numbers: every client has one conversation with your studio (like a chat), and every message can belong to a project, an appointment or a request. Your client writes from their customer area, you reply under Messages – or right in the project, the appointment or the request.
How it works
- Your client writes in the customer area under Messages – text and up to 5 photos, optionally about a project, an appointment or a request ("What's it about?").
- You see it right away: next to Messages in the sidebar you see the number of unread conversations. If you like, a short email also goes to your studio's address.
- You reply in the conversation – with text and photos. Your client gets an email "New message from <your studio>" with a link to their conversation.
- Done? Tap Done. If the client writes again, the conversation automatically reopens.
Topic: project, appointment or request
Above the text field there's What's it about? – that's where you (or your client) pick the topic:
- Projects: the client's ongoing projects (planned, in progress, healing).
- Appointments: the upcoming ones and the last three – an appointment in a project reads e.g. "Tue 13/10, 11:00 · Back mandala, session 2".
- Requests: the client's open requests.
- General: no topic.
In the conversation, every message with a topic carries a small label – "Project: Back mandala", "Appointment: Tue 13/10, 11:00", "Request: Tattoo from 08/10/2026". Tap it to open the project, the appointment in the calendar or the request. Topics can only be projects, appointments and requests of this client in your studio.
Filter in the conversation
Above the conversation there are pills: All and one per project, appointment or request that already has messages. A project shows everything that belongs to it: messages about the project itself, about its appointments and about the request it came from. With a filter set, your next reply is pre-set to the same topic.
Messages where the work happens
You don't have to go to the inbox first:
- Project: under Projects, the project has a Messages section at the bottom – everything about the project and its appointments, writing pre-set to "Project".
- Appointment: the appointment dialog in the calendar has a Messages tab at the top (for saved appointments with a client) – the messages about exactly this appointment.
- Request: the request detail under Requests has a Messages section. If the request isn't linked to a client yet, link it first. When your client writes about a request, it's unread again in the requests inbox – so nothing slips through.
- Customer file: the whole conversation, with labels and filter.
Open whole conversation takes you from there to the inbox.
An inbox like your requests
- Unread per person: what you've opened is read for you – for your colleagues it stays unread. Unread conversations are bold with a dot.
- Pills at the top: All · Unread · Open · Done – with counts. Next to them Mark all as read.
- In a row's menu: Mark as read or unread.
- You can turn off the count in the sidebar and on the app icon under Account → Appearance – the same setting as for requests.
In the customer file
The customer file has a Messages section: the whole conversation with replies. If there isn't one yet, you write the first message there – your client then gets an email with a link to their area.
In the customer area
Your client sees the same labels. Every appointment in their overview has Message about this appointment, requests have Message about this request – that opens the chat with the topic pre-set. If they have a project with you, they see it under Your projects: status, sessions and appointments, the messages about it and Message about this project. They never see internal prices, estimates or notes there.
Privacy
- Never in emails: notifications never contain the content or photos – only the notice and the link. The email to your studio only contains the client's name.
- Phone notifications: only the name and the topic, e.g. "New message from Kim · Project Back mandala" – and only if Show content is on under Account → Notifications. The text of the message is never in it.
- Encrypted: texts are stored encrypted with your studio's key – they can contain health information ("the area is red").
- Photos without location: photos are resized before sending; location and camera data are removed. They're private: only your client and people with the Handle messages permission see them.
- Who may? By default owner, studio manager and front desk. You enable artists under Team in the Permissions section.
Settings
Under Settings → Requests & projects you decide whether your studio gets an email for new messages (on by default, at most one per 15 minutes and conversation). The address for it is under Settings → General.
And WhatsApp?
Do replies to my emails end up here too?
Not yet: if your client replies directly to an email, the reply goes to your studio's address as before. But at the bottom of every email there's Send a message – it leads straight to their conversation.
