Team & guests
Invite your team and assign roles
Invite artists, front desk and managers by email or QR code – the role decides what each person can see and do.
Last reviewed: 10 October 2026
Owners and studio managers can invite people. Teams are part of the Pro plan.
Invite by email
- Open Team and tap Invite by email.
- Enter the email address and choose a role.
- The person gets an email with a link. Without an account, they create one in a minute.
The invitation is valid for 7 days. You'll see open invitations in the team list and can withdraw them there.
By QR code
Standing right next to you? Then a QR invite under Guest artists is even quicker. It works not only for guests but also for permanent roles like artist, piercer, front desk or studio manager. Here's how: Invite guest artists via QR code.
Without access
If an artist doesn't want the app, add them under Team with Add without access: own calendar column, appointments, working hours and absences like everyone else – just without sign-in, emails and permissions. You can give access any time later with Invite to access; the person then takes over their profile with all appointments. All the details: Artists without access – and giving access later.
The roles
- Owner – all permissions, including subscription and invoices, health information of all customers
- Studio manager – everything except subscription and invoices, health information of all customers
- Front desk – see and edit all calendars, override conflicts, manage everyone's time off, customers and requests; no health information
- Artist – see all appointments, edit their own, own time off, customers, health information of their own customers, requests
- Guest artist – only their own calendar, own time off, customers, health information of their own customers – while the guest spot lasts
- Piercer – see all appointments, edit their own, own time off, customers, health information of their own customers
- Apprentice – view calendar and customers, only add their own time off
Override conflicts means: save anyway when an appointment clashes with another one, falls into time off or lies outside working hours – details in Calendar: views and conflicts. How time off works: Add time off.
You change the role in the person's profile under Team. A studio always has at least one owner.
Anyone with their own appointments gets a column in the calendar – you control that in the profile with Bookable in the calendar. That's also where you set the profile photo, working hours, colour, styles and languages – about the photo: Profile photos for you and your team.
Permissions per person
The role is just a template. In the person's profile under Team, the Permissions section lets you switch each permission on or off individually – for example whether someone only sees their own appointments, may edit customers or sees health information of their own or of all customers. Their own customers are those with an appointment or project with them – or whose consent came in via their QR code.
- Differences from the role are marked as custom; Reset to role default restores everything.
- Changes can be made by anyone who may manage the team – and only for permissions they have themselves. Owners can't be restricted.
- The person gets new permissions immediately, without signing in again. Every change is listed in the log.
Good to know
Only people with their own calendar column take an artist seat. Front desk and managers without their own appointments come at no extra cost. More: Plans, pricing and trial.
