Artists without access – and giving access later

Add artists who don't want the app – you plan their appointments and absences, and you can give them access any time later without losing anything.

Not everyone wants an app. In many studios the owner or the front desk plans the appointments for the artists – the artists simply show up. That's what people without access are for. Anyone who manages the team can add them. More people are part of the Pro plan and up.

Add an artist without access

  1. Open Team and tap Add without access.
  2. Enter name, role and calendar colour. Possible roles are Artist, Guest artist (with guest spot dates), Piercer and Apprentice.
  3. The email is optional – it's only for a later invitation. We won't write to them.
  4. Bookable in the calendar gives the person their own calendar column and makes them selectable online.
  5. After adding, the profile opens: profile photo, styles, languages, about, Instagram, working hours and billing work there – just like for everyone else. You upload the profile photo for the person; it also shows up in online booking and on the homepage (Profile photos for you and your team).

In the team list the person shows No access; the Access filter shows all of them at a glance.

What works – and what doesn't

  • Like everyone else: own calendar column, appointments, working hours, absences, online booking (artist choice), consent forms via appointments, statistics.
  • Not: signing in, emails or texts to the person, permissions. Without access there's no sign-in – not via "forgot password" or a passkey either.
  • Appointments and absences are entered by whoever may edit them – for example owner, manager or front desk.

Give access later

  1. Open the person's profile under Team and tap Invite to access (or use the ··· menu in the list).
  2. Check the email address and tap Send invitation. The person gets the regular team invitation.
  3. They accept with a new or existing account – for example with the account of their own studio.

When they accept, they take over their profile with all appointments, working hours, absences and statistics. No second person appears in the team. From then on the permissions of their role apply – you can adjust them in the profile under Permissions.

A pending invitation shows in the team list under Pending invitations ("Access for …"), where you can revoke it. The person then stays without access.

Remove

In the profile via ··· → Remove from team. The person disappears from team and calendar; their appointments stay and show without an artist – like for everyone else.

Does it take an artist seat?

Yes, just like everyone: every bookable person with their own calendar column takes an artist seat – with or without access. Guest artists only count during their guest spot, people who aren't bookable not at all. How many seats are taken is shown top right in Team – you can adjust your seats from there too.
