Deposits: how your clients pay
You decide how much the deposit is and how clients pay it – by bank transfer, at the studio or via PayPal – and mark it as paid in the appointment, with how it was paid.

How much is the deposit?
A deposit is always a fixed amount. Under Settings → Deposits you set the studio default – €50 for new studios. Every service under Services has three options:
- Studio default: the service uses the amount from the settings. If you change it there, it applies to all of these services.
- Own amount: for example €100 for a full-day session.
- None: for example for the free consultation.
If you turn off Require deposits, services set to the studio default no longer have a deposit. Services with their own amount are not affected.
How your clients pay
Under Settings → Deposits, choose one or more ways in How your clients pay. New studios start with “At the studio”.
- Bank transfer: enter the account holder and IBAN; the BIC is optional. Inkfuchs checks the IBAN when you save. Inkfuchs builds the reference automatically from the appointment number and the last name, e.g.
Anzahlung K7M2QX Hennes. - At the studio: your client drops by and pays through your studio's till. In Inkfuchs you only note “via the studio's till”.
- PayPal: enter your paypal.me link (format
https://paypal.me/name). Your client adds the reference as a message.
After an online booking, your client sees the payment details on the booking page and in their email: amount, deadline and the details for each way to pay – for bank transfers with IBAN and reference. Marking a deposit as paid
Once the money is in, open the appointment, set the deposit to Paid and choose how it was paid. Only the ways your studio has enabled are offered. A reserved online booking is then confirmed right away.
- Matching payments: every appointment has a short appointment number – you'll find it in the appointment below the deposit. Search for the number from the reference in the appointment list or with search (⌘K).
- Who can do this? By default, owners, studio managers and front desk have the permission “Mark deposits as paid”. Under Team → member → Permissions you can switch it on or off per person (Team and roles).
Frequently asked questions
Can a client pay cash in Inkfuchs?
No, Inkfuchs has no cash payments. If your client pays at the studio, take the money through your till as usual and set the deposit in the appointment to “paid” with “via the studio's till”.
What happens if I turn off a way to pay later?
New bookings no longer show it. Appointments that are already paid keep how they were paid.
How do I find the appointment for a bank transfer?
The reference contains the appointment number, e.g. K7M2QX. Enter it in the appointment list or in search (⌘K).
