Studio settings

Export data – everything from your studio as a ZIP

Download all of your studio's data as a ZIP – customers, appointments, requests, projects, consents, team, settings and images, with health information if you want.

Your data belongs to you. With the data export you take everything Inkfuchs stores about your studio with you – for moving to another tool, for your own archive or just to see what's in there.

How it works

  1. Open Settings → Export data.
  2. Decide whether the health information from consents should be included (see below). Without the tick it stays out.
  3. Tap Start export.

The export runs in the background – even for large studios with lots of images. You can leave the page. When it's ready you get an email “Your export is ready”. The email contains no data and no attachment, only the link into the app. There you download the file under Previous exports with Download.

What's included?

  • LIESMICH.txt (readme) – studio, date, who exported, all CSV files with their columns
  • csv/ – tables for Excel & co.: customers, appointments, deposits, requests, projects, messages from the customer area, services, team, working hours, locations, workstations, opening hours, time off, consents
  • daten.json – everything again in machine-readable form, with a format version – for moving to other software
  • dateien/ – logo, homepage images, profile photos, the reference images of requests and photos from messages

Without the tick, consents only include the key facts: person, form, date, ID check, checksum and whether the checksum still matches. Messages from the customer area are always included – if a customer wrote something about their health there (“the tattoo is inflamed”), it's in the export too.

How do I open the CSV files in Excel?

Just double-click: the files are UTF-8 with semicolons as separators and German column names – umlauts and amounts (“50,00”) come out right. Times are in your studio's time zone. Text that starts with =, +, - or @ (e.g. phone numbers like +49 …) has an apostrophe in front – so no spreadsheet can run it as a formula.

With health information

If you tick Include consents with health information, the answers from the health questionnaire (decrypted) and the signatures are added: csv/gesundheitsangaben.csv (one row per answer) and the signatures as images.

You then confirm it's you – with your password or, if you use two-factor sign-in, with a code from your authenticator app. After 5 wrong attempts there's a 15-minute pause.

Security

  • Only you: only the person who requested the export can download it – signed in and with the right permissions. Others in the team only see in the list that it exists.
  • Stored encrypted: until you download it, the export is stored encrypted.
  • 7 days: after that the file is deleted automatically. You can also remove it earlier via ··· → Delete. The entry stays in the list as a record.
  • Checksum: ··· → Copy checksum gives you the file's SHA-256 value to check it after downloading.
  • Log: “Data exported” (with or without health information) and every download show up in the log.
  • One per hour: each studio can run 1 studio export per hour.

Who can do this?

By default only owners – through the permission Export all studio data. You can give it to another person in your team, see Invite your team and assign roles. Health information can only be exported by people who also have Health data of all customers.
