Reminders & aftercare
One reminder 48 hours before the appointment with a cancel button, then three aftercare emails on day 1, 14 and 42 – all automatic, all adjustable.

How it works
Inkfuchs sends your clients emails automatically – on behalf of your studio, in their language (German or English). You set everything up under Settings → Reminders & aftercare.
- 3 days before – consent: the link to the consent form if nothing has been signed for the appointment yet (tattoo and piercing). Adjustable under Settings → Consent, more in Digital consent.
- 48 hours before – reminder: appointment, address, your preparation tips and the Cancel or reschedule button.
- Day 1 – aftercare instructions: your aftercare guide to look up.
- Day 14 – how is it healing? Asks about the healing and for a photo. The reply comes to you by email.
- Day 42 – touch-up? With a button to your booking page – and a request for a Google review.
Each email goes out exactly once per appointment – even if you change a timing later.
Confirmation and changes
Your client already gets a confirmation when you book – and an email when you confirm, move or cancel the appointment. Whether Notify client by email (on by default) and Also by text message (off by default) are preselected is set in Confirmation & changes. All about it: Keep clients informed about appointments.
Reminder before the appointment
- Timing: by default one reminder 48 hours before. You can add a second one, for example 24 hours before – up to three. If someone books at short notice, the reminder goes out right away.
- Which appointments: confirmed and requested ones. Reserved appointments with an open deposit only get a reminder once it's paid.
- Preparation tips: if you leave the field empty, Inkfuchs uses a default text (bring time, eat something beforehand, bring your ID, comfortable clothes). With Customise default text you turn it into your own. One paragraph per line, list items start with “- ”. The preview shows how it looks in the email.
Cancelling without an account
The Cancel or reschedule button opens a page with your studio up front: service, date, time, artist and address. Your client doesn't need to sign in.
- Cancel: your client first sees your rules – until when cancelling is free of charge (Settings → Booking) and whether a paid deposit is forfeited for late cancellations (Settings → Deposits). After confirming, the appointment is set to “cancelled” and the slot is free again. Your calendar updates right away, you get an email at the studio address from Settings → General, and the log shows “Cancelled online”.
- Reschedule: the page shows your studio's phone and email. You find the new time together.
- Valid: the link works until the appointment starts. If you move the appointment, it keeps working and shows the new time.
Aftercare after the appointment
Aftercare is sent after tattoo appointments (including flash and touch-ups) once the appointment is set to “done”. You can switch off each of the three emails and choose its day.
- Aftercare instructions: without your own text, Inkfuchs sends short, general tips and refers to your studio's aftercare guide. The default text deliberately contains no medical advice.
- How is it healing? Your client simply replies to the email, ideally with a photo.
- Touch-up? The button leads to your booking page. If online booking is off, the email asks for a reply instead. This email is skipped after a touch-up appointment and if your client already has a next appointment, for example the follow-up session.
Google reviews
Enter the link from your Google Business Profile (“Ask for reviews”) under Link to your Google reviews. It has to start with https://. The day-42 email then contains a short paragraph asking for a review. Without a link, it's left out.
Frequently asked questions
Can I switch the second reminder 24 hours before back on?
Yes. Under Timing, also select “1 day before”. Up to three reminders are possible.
Do my clients get reminders by SMS or WhatsApp?
By SMS, yes – from Pro one SMS per appointment goes out in addition to the email, included. How it works: SMS reminders. Aftercare goes out by email.
What happens to my previous settings?
If you still had the old defaults (reminders 48 and 24 hours before, aftercare on day 1, 7 and 28), the new defaults now apply automatically. Your own values stay as you set them.
