Plan an appointment from a request or a project

One click turns a request into a linked appointment (and sets the request to “Accepted”), and a project into its next session.

Appointment from a request

  1. Open the request under Requests and click Plan appointment. If there's no client record yet, create one first or link the matching one.
  2. The calendar opens a new appointment – prefilled with the design as title, the details as a note, the type and the preferred artist. At the top it says From a request, with a link back.
  3. Pick the time, check everything and click Create. With Notify client by email ticked, your client gets the confirmation right away (Keep clients informed about appointments).

Then this happens automatically:

  • The request is set to Accepted – if it was “New”, “In review” or “Offer sent”. Declined or archived requests keep their status.
  • Request and appointment stay linked: in the request, Appointments lists each one with date, artist and status; in the list of requests the next one shows in the Appointment column – one click opens it in the calendar.
  • If the request already has a project, the appointment goes into that project.
  • The log shows “Accepted · Appointment created” on the request.

You can plan several appointments from one request, for example a consultation first and the session later.

Appointment cancelled or deleted?

If you cancel or delete the linked appointment and the request has neither another appointment nor a project, the request goes back to In review – with a log entry. If you've changed its status yourself in the meantime, it stays. If you undo the cancellation, it's “Accepted” again.

Plan a session from a project

Under Projects, Plan session schedules the next appointment of a project. It's prefilled with “<Project> – Session 2” (counting the project's appointments so far, without cancelled ones), the type Tattoo, the project's artist and the client – and lands in the project.

In the appointment dialog you see the project under Project: switch it, take the appointment out of it or open the project. You can pick from the selected client's projects.

FAQ

No – the link is made when you create the appointment from the request. That way the request's status and log always add up. You can link an appointment to a project at any time in the appointment dialog, though.
