Turn a request into a project
One click turns a tattoo request into a project – with reference images, linked both ways and, if you like, with an email to your client.

A tattoo request is the start, the project is the work on it: size, style, sessions, price estimate and the appointments. Under Requests you turn a request into a project with one click.
How it works
- Open the request under Requests.
- If there's no client record yet, create it or link the matching one – Inkfuchs suggests it when the email or phone number is already known.
- Click Turn into project, check the project title and choose the artist.
- Leave Notify client by email ticked if your client should hear from you, and click Convert.
Then this happens automatically:
- The request is set to Accepted.
- The project takes over body area, size, style, colour, the budget as price estimate and the motif as a note.
- Request and project stay linked: the request shows the project, the project shows the request – each with a link.
- The logs show who converted it and whether the email went out.
Reference images
Clients can send up to 5 images with the request form on your booking page – designs, sketches or the spot. You can add more in the request, up to 10 in total. Photos are resized before upload, and location data is removed.
The images belong to the request and show up in the project without a copy. Anyone who can manage requests can see them – and, once the project exists, everyone who can see clients. They're never public.
The email to your client
With the box ticked, your client gets an email in your studio's name, in German or English – depending on the language in the client record:
- your text (or our default text),
- the project with title and artist,
- the next step: if your online booking is on (Settings → Booking rules), the Book your appointment button takes them to your booking page. If it's off, the email says you'll get in touch with a suggested time.
If your client replies, the reply goes to the address from Settings → General. Without an email address no email goes out – converting still works.
Set up text and checkbox
Under Settings → Requests & projects you decide:
- whether Notify client by email is already ticked when you convert,
- your own text for the email. If you leave it empty, Inkfuchs uses the default text in your client's language. The preview shows the email exactly as it goes out.
Project deleted?
If you delete the project, the request goes back to In review – with an entry in the logs. The reference images stay with the request. If you had changed the request's status yourself in the meantime, for example to “Archived”, it stays that way.
Frequently asked questions
Can I delete a request that has already become a project?
No – its reference images now belong to the project. Delete the project first or set the request to “Archived”.
Can I link a project to a request afterwards?
The link is only created when converting. That way the request's status and logs are always right.
